Programming and Using a Merlin Telephone

A Merlin telephone set may have extra, "blank" buttons that are programmable.  Below are the instructions for Merlin telephones.   

There are two types of sets: "Merlin" and "Merlin Legend."  Instructions specific to the "Merlin Legend" are being edited and will be posted at a later date.  

The term "direct line" as used herein refers to a telephone line with its own telephone number.  It is not part of the "Main Pool" of telephone lines.

Program the telephone using the switch on the left. 
It has three settings:
T is for Testing all the lights on the telephone
o is the center position for normal usage
P is for Programming the telephone
The basic steps for programming a telephone are:
1. Move the switch to the P position.
2. Press the button to be programmed.
3. Enter the desired code.
4. Repeat steps 2 and 3 until buttons are programmed.
5. Move the switch to the center o position when finished.
To de-program a button:
1. Move the switch to the P position.
2. Press the button to be de-programmed.
3. Press *21, drop, drop

There are seven ring sound patterns available on the regular Merlin telephone.  Use them to distinguish your telephone from others.
1. Move the switch to the P position.
2. Press the Speakerphone button repeatedly to select the desired ring sound pattern.
3. Move the switch back to the o position.

Set the Line Pickup Order ContentsBack to Contents
When no lines are in use a red light indicates the line that will be used when you pick up the receiver.  You can then press a specific line button to place a call on that line. 
When the first line is in use, the system uses the next line in a set sequence.  You can reset that sequence using the instructions below.  One reason for resetting the sequence is to keep available the direct line you regularly use for checking voice mail.
While the telephone system typically uses "Main Pool" lines for outgoing calls and specific numbered lines for incoming calls, you may set a direct line as the default outgoing line. 
To set the pickup sequence of lines:
1. Move the switch to the P position.
2. Press [*] [*].   
3. Press the line buttons in the desired sequence order.
4. Move the switch back to the o position.

Set Which Lines Ring ContentsBack to Contents
You can set whether your telephone rings for calls to a specific line.
The "Main Pool" lines designated for outgoing calls are not normally set to ring.  Direct lines are normally set to ring. 
There are three settings:
(1) Immediate ring The line rings immediately for an incoming call.
(2) Delayed ring  Someone else has immediate ring on a line.  Your telephone will ring only when the call is not answered by the other person.
(3) No ring  The telephone will not ring but the green light will flash.  Answer the call by pressing the line button and picking up the receiver.
To program the feature:
1. Move the switch to the P position.  The red light indicates the current setting.
2. Press the specific line and use these codes:
*35 No ring (the red light will go off)
*36 Delayed ring (the red light will blink)
*37 Immediate ring (the red light will go on)
4. Enter the code after pressing any line button:
*345 Turn all lines off
*346 Turn all lines to delayed ring
*347 Turn all lines on
5. Move the switch back to the o position.

Call Coverage ContentsBack to Contents
You can set a button to "cover" (answer calls for) another specific telephone.  A blank button must be available to program.
To program the feature:
1.  Label the button to be programmed as the "Cover."
2.  Move the switch to the P position.  
3.  Press the button labeled as "Cover."
4.  Enter:
*40  for primary coverage (incoming call rings immediately)
*50 for secondary coverage (incoming call rings after two rings on the covered telephone)
5.  Enter the extension number of the telephone to cover.
6.  Move the switch back to the o position.

Privacy ContentsBack to Contents
When you place a call using a Main Pool line, the line-in-use indicator may also illuminate on another telephone, such as a secretary's telephone.  Someone could join in or listen in on your conversation from that telephone.
Set the privacy button to "ON" to disable anyone from joining in or listening in on your conversations.  The privacy button toggles between "ON" (green light is illuminated) and "OFF" (green light is not illuminated).  
To program the feature:
1.  Label the button to be programmed as "Privacy."
2.  Move the switch to the P position.  
3.  Press the button labeled as "Privacy."
4.  Enter *72. 
5.  Move the switch back to the o position.

Last Number Redial   ContentsBack to Contents
"Redial" stores the last number you called and allows you to redial it.
To program the "Redial" button:
1. Label the button to be programmed as "Redial."
2. Move the switch to the P position.  
3. Press the button labeled "Redial."
4. Enter *73. 
5. Move the switch back to the o position.
Press the redial button  to dial that number.  

Save Number ContentsBack to Contents
"Save" lets you store a number in memory until you store a different number.  
To program the "Save" button:
1. Label the button to be programmed as "Save."
2. Move the switch to the P position.  
3. Press the button labeled "Save."
4. Enter *74;
5. Move the switch back to the o position.
Save a number using the "Save" button as follows.  After you place a call and before you hang up (for instance, if it's a busy signal) press the "Save" button and then hang up.  
Use a number stored with the "Save" button as follows.  After lifting the receiver press the "Save" button to dial the saved number.

Answering Machine (AM) ContentsBack to Contents
If you have an external answering machine connected to your telephone, this buttons acts as a toggle switch to route calls to the answering machine or disengage the answering machine. 
To program the feature:
1. Label the button to be programmed as "AM."
2. Move the switch to the P position.  
3. Press the button labeled "AM."
4. Enter *75. 
5. Move the switch back to the o position.

Personal Speed Dial ContentsBack to Contents
You can program any unused button on your telephone (plus 24 speed-dial codes) to dial any number (or partial number). 
To program the feature:
1.  Move the switch to the P position.  
2.  Dial a personal speed dial code from 01 to 24
3.  Enter *90 nnn, where "nnn" is the number you are dialing.  Include the dial-out code if needed.
4.  Move the switch back to the o position.
Examples:
*90 9 301 123 4567 a local call to Maryland
*90 9 1 312 123 4567 a long distance call to Chicago
*90 61234  an internal NIH call
*90 65000 a call to the Octel voicemail system
*90 9 301 a shortcut button for local Maryland calls

Additional Personal Speed-dial "buttons" 
Every Merlin system telephone has 34 programmable memory locations.  The 34-button secretarial telephone has a button corresponding to each memory location. The 10-button telephone has 10 buttons for 10 memory locations and the ability to access the other 24 memory locations.
Program a 10-button telephone as follows.  When the system prompts you to "press a button to be programmed," press #01, #02, ... #24 to designate the memory location.  To activate the speed-dial press those same three digits.

System Speed Dial ContentsBack to Contents
TIB personnel can program additional speed dial settings into the main control unit.  Those settings are then available to Merlin system users.  Submit a telephone service request form to use this feature.

Auto-Dial Intercom (ADI) ContentsBack to Contents
You can program a button to be an intercom button and use it to transfer an incoming caller to that intercom (telephone) location. You can use the green light next to the intercom button to see whether that telephone is in use. 
To program the feature:
1.  Label the button to be programmed as "ADI."
2.  Move the switch to the P position.
3.   Press the button labeled "ADI."
4. Enter *91 nnn, where "nnn" is the intercom number. 
5. Move the switch back to the o position.

Answering Others' Calls ContentsBack to Contents
To answer a (remote) telephone that is ringing from another telephone on the same Merlin system: 
1. Press the button next to either of the intercom lines.
2. Pick up the receiver.
3. Press *9 and the intercom number of the ringing telephone.
