NIH Voice Mail

Orders for NIH Voice Processing (commonly referred to as Voice Mail) are managed by the Telecommunications Infrastructure Branch.
The system provides voice mail services to users at NIH, FDA, and HHS in the Montgomery County area.
System Administrators can be reached at 301-594-9422.

Benefits of the NIH Voice Mail System:
- * Visual notification when a message arrives
- Send group messages within the entire system
- Reply to voice mail messages within the entire system
- Access the system remotely
- Set-up delayed reminders
- Utilize system enhancements such as FAXAGENT®.

The FAX-Agent System allows users to receive hard copy fax messages through the Voice Mail System. Each individual can set-up their FAX-Agent to meet their specific needs.


Voicemail Feature Changes:

The Telephone Service Request (TSR) Form is used for most* types of Voice Mail Service requests.
- Add a voicemail box to a line
- Delete a voicemail box
- Reset a password - issue new password
- Change the number of rings before a call goes to the voicemail system
- Move a mailbox
- Change a mailbox attendant number

* The advantage to having a voice mailbox with an ISDN telephone is that a visual message waiting indication (a message light) is included. With 1A2 key sets and Merlin sets, only "stutter" dial-tone is provided (if the mailbox begins with a 2,4,5, or 6).

1. Call the VM system from your own phone.
2. Listen and follow the initial tutorial - when prompted for a password, enter your phone number.
3. Next, you'll be asked to enter a new password (5-15 digits do not use zero as the first digit).
4. Record a greeting for your mailbox (we recommend that you use option 2).
5. If you have been given the FAXAGENT, you will be given a tutorial on the features.

Quick Tip: The Easy Access Feature - If you are calling locally (from outside), you can dial your own telephone number, and when you hear your greeting, simply dial 1 to get right to the password prompt.
This works especially well when you've activated the CFV button on your ISDN phone.
The Easy Access Feature is not available to mailbox users whose boxes begin with 1, 8, or 9.

Your Voice Mail FAXAGENT
(May not apply to all users. Contact the DNST Help Desk 301-594-6248 ... for additional information)

FAXAGENT - Lets you receive fax messages in the same mailbox as your voice messages. You are notified when a fax massage is received. Additionally you can:

- act on fax messages just as you can on voice messages
- have your fax messages print automatically or manually
- include a cover page for each fax
- receive envelope information,(date, time, sender, etc.)
- broadcast to multiple fax devices using a single address
- control when and where your fax messages are printed-out


  Frequently Asked Questions -- For Routine Voice Mail Maintenance

Q Why voice mail maintenance ?
A - To prevent incidents (jeopardy) of voice mailbox disconnects in error.
- To deny hackers access to NIH systems.
- To efficiently utilize space on NIH systems.
   
Q What should I do about my voice mailbox when I resign/retire ?
A - Please notify your Administrative Officer.
- Address resignation/retirement date and alternative person of contact in voice mail greeting.
- Address resignation/retirement date and alternative person of contact in e-mail auto reply.
   
Q How can I get the old password deleted and a new password assigned to me?
A Submit a TSR form to Telecommunications.Click here for a TSR form.
   
Q Are deleted messages restorable ?
A Deleted messages are not restorable.
   
Q How many messages may I save/archive ?
A - The system will store up to thirty (30) messages.
- Saved messages remain saved/archived until you erase them by pressing [7] or they have been in your mailbox longer than your system administrator allows (30 days).
   
Q What if my voice mail indicator light isn't working ?
A Please call the Voice Mail Help Line at 301-594-9422 to have your light reset.
If the problem persists, it’s probably a problem with the phone itself. Please call Verizon repair at 301-402-9935.
