DEFINITIONS OF FIELDS

Title: Name of the document, usually taken from the title page. May be taken from the cover, envelope, mailing carton, or disc label of items without a title page. For most microfiche, the title is taken from the title page frame. On CD-ROMS, it is usually taken from the disc label or the paper booklet insert.

Stock number: The 12 digit hyphenated number used to identify and order a Government information product or subscription.

Availability: Stock status. Indicates if the Government information product is currently available from GPO. Approximately one-half of the items listed are available; the rest are either forthcoming or out of stock. (See Availability Status Definitions In Numerical Order for a list of the stock statuses.) The number that precedes a status definition (either a zero or a one) may be ignored; it is used by GPO for internal processing.

Price: Gives the domestic price for non-priority mailing. This is the price for United States customers.

Price (Non-U.S.): Gives the foreign price.

Standing Order Code: Indicates that the Government information product is available on a standing order basis. If this service is requested, future Government information products in this series will be mailed to the customer. All standing order codes begin with the letter Z.

Description: The Description Field provides the following information, where applicable: departmental series, report number, complete title, alternate title, additional information about personal/corporate authors, scope note or annotation, Departmental or contract number, Library of Congress card number, additional ISBN numbers, and the Depository Library item number.

Publisher: Document Source. Name of the Federal agency that issued or released the document. Sometimes referred to as the "corporate author".

Year/Pages: Imprint. For most titles, the year the Government information product was first printed followed by the pagination. For non-books, it includes the format of the item, for example, posters, maps, or CD-ROM.

Note: This paragraph is used for special information. It includes the following, where applicable: supersession information, NB (New Book) number if the item is listed in GPO's "New Products Catalog", Depository Shipping List (DSL) number, if the Government information product was mailed to Depository Libraries and listed on the "Daily Depository Shipping List" in recent years, O/N or Office Notice number (if it is a subscription which has been changed by an internally issued GPO office notice), and other sales information.

Key Phrases: Refers to series, subject headings, and key words and phrases from the title. Many subject headings are from "Legislative Indexing Vocabulary", a thesaurus published by the Congressional Research Service of the Library of Congress.

SuDocs Class: The Superintendent of Documents classification number. Many libraries use these numbers to arrange their Government documents collections.

Extra Description: Related to the binding and format fields, this field indicates if the item is mailed in mailing cartons or envelopes, is plastic coated, and if it has a dust jacket.

ISBN: International Standard Book Number. Used by many book dealers.

Author: The person or persons who wrote the document. This field may also list editors, compilers, and illustrators, if named prominently on the Government information product. Up to two authors may be listed.

Weight: The weight of the Government information product. Used by GPO to determine mailing costs.

Quantity PriceIndicates if there is a discount when a title is ordered in quantity (usually 100 copies or more) or ordered by a bookseller. Options for this subfield include "discount," "no discount", "free" and "see note."

Binding: Gives type of binding. This field also indicates if the item is a non-book, or "specialty item."

Cover: Indicates a book cover's material. Possible examples include paper, cloth, cardboard, and plastic.

Available Date: The date the document first came into stock and was available for retail purchase. It is added when an item initially becomes available.

Subject Bibliography: Subject Bibliography numbers. Identifying number(s) of the GPO Subject Bibliographies which list Government information products on a similar subject.

Status Date: Date the status, or availability, of the Government information product last changed.

Unit: "Each" identifies the price for single copies. Other possible units of issue are pad, package, and set.

Unit (Non-U.S.): should be the same as the unit for United States customers.

Quantity Pricing: "Discount" means there is a discount available for customers who order 100 copies or more. A discount is also available for bookdealers, regardless of the number of copies ordered. "No discount" means the Government information product cannot be discounted further; it already has a special price. "See note" means read the note field.

Cross Reference Number: Usually refers to the number of a new edition. On some older subscriptions, the cross reference number refers to an old number.

Format: Identifies the format of non-books. These include posters, microfiche, multi-media, computer tapes, and maps.

Sub List: Subscription List identification. Symbol used by GPO to identify a subscription. This symbol should be cited when ordering a subscription service. It should begin with the letters A to Y. An example is MLR, for "Monthly Labor Review". Also known as the "List ID."

ISSN: International Standard Serial Number. An example is 0039-6222.
