Submitters and employers filing annual wage reports (AWR) for Tax Year
(TY) 2003 must register for a Personal Identification Number (PIN).
The PIN must be included
in the RA Submitter Record of the Magnetic Media Reporting and
Electronic Filing (MMREF) formatted AWR file. The PIN represents an electronic signature of the individual who is
responsible for the accuracy of the Form W-2 data being filed. A PIN and password are
required to submit AWR files using the Internet Wage Reporting Service within
Business Services Online.
They are also needed to use other Business Services Online features. The
Business Services Online Tax Year 2003 Handbook explains these
services.
If the person submitting the file is not responsible for the accuracy of the data,
then the individual who is responsible should obtain a PIN and include that PIN
in the MMREF-formatted AWR file.
The individual who is responsible for
transmitting the Form W-2 information to SSA should use their PIN and
Password to transmit the AWR file to SSA.
NOTE: If you are filing wage reports for another company, use information
about your own company, not the company you're filing for, when you
register.
Reminders for Current Registrants
Please be sure to change your password within 365 days from the date the
password was last changed so that your PIN does not expire, or call SSA Employer 800 Number at 1-800-772-6270 so
they can reissue a password to you.
If you forgot your password, select the Forgot Your Password link on the Business Service Online Login page.
The system displays the Business Services Online Forgot Password page. Enter your PIN, Last Name,
and U.S. Social Security Number. Select the Request New Password button to send the request. The system
displays the confirmation page for your new password. "Your temporary password will be sent to you
by first class mail within 2 weeks. You must wait for your password to utilize the BSO
system. All passwords issued prior to this request are invalid."
NOTE: This functionality cannot be used if you did not register with a United
States issued Social Security number.
Please make sure your e-mail address is correct. The system will automatically send you
an e-mail reminder 2 weeks prior to your PIN expiration date.
You can use one of two options to register
for a PIN and Password:
- SSA Business Services Online (BSO) Internet site at
http://www.socialsecurity.gov/bso/bsowelcome.htm or
- SSA Employer 800 Number at 1-800-772-6270
The BSO Tax Year 2003 Handbook explains these services.
PINS:
- Will be issued immediately for successful registration.
- Are valid as long as the Password is changed at least once a year.
- Are required to file wage reports electronically or on
magnetic media (5 1/4 inch diskettes, tapes and cartridges).
Passwords:
- Will be mailed to the PIN holders via the postal service and should arrive within 10 to 14 days from the date of registration. A notice will be sent first to the employer telling them that the employee has requested a PIN and Password. (Note: people registering as self-employed will not ge the employer letter)
- Must be changed to an 8 character alpha numeric Password of choice the first time the user logs onto the BSO Internet site.
- Must be changed at least once a year for the PIN to remain valid.
- Please make sure your e-mail address is correct. The system will automatically send you an
e-mail reminder 2 weeks prior to your PIN expiration date.
PINS and Passwords are required to:
- Submit AWR files on the Internet.
- View submission status, notice and error information.
- Use W-2 Online.
- Acknowledge Resubmission Notice.
- Request a Resubmission Extension.
- *Use Social Security Number Verification Services.
- *Complete Form I623.
- View Employer Report Information
(*These features are currently in the pilot stage and available only to pre-selected organizations.)
PIN and Password requestors
are required to:
- Submit identifying information including:
- Name and Date of Birth,
- Company EIN, Name and Telephone Number, and
- Contact Address and Telephone Number.
- Attest to Privacy and Truth Statements to indicate that they:
- Understand that SSA will validate the information provided against the information in our files.
- Are currently employed by the employer and have the authority
to
either attest to the accuracy of the data and/or transmit wage
information
and to receive employee wage information for the employer.
- Understand that they may be subject to IRS penalties if
they submit
fraudulent information.
- Agree that they are responsible for all actions taken with their PIN.
- Have their company or clients authority to verify employee's names and Social Security Numbers
- Have authority to transmit Representative Payee Use of Benefits Data for the company.
Online Registration options
include:
- New Registration.
- Updating information on a current registration record. (Note: You cannot change your SSN or EIN)
- Changing a Password.
- Deactivating a PIN.
Online Registration failures
will be processed by the
Employer 800 Number Technicians. An online registration may fail
because:
- The personal information provided by the requestor does match current SSA records.
- SSA cannot establish an employer/employee relationship based on information in the file.
- More information is needed to complete the registration process.
The Employer 800 Number technicians are available to
assist registrants, employers and submitters during the hours
7:00 AM and 7:00 PM Eastern Standard time.
