Grant Award Database Information

Welcome to the U.S. Department of Education Grant Award Database. The database contains information on U.S. Department of Education grant/cooperative-agreement awards since FY 2001. The date of the most recents awards added to the database is shown on Database main menu page.

Database development is a continuing process, and we would like your comments on the design and features and suggestions for further improvement. The E-mail address for comments and suggestions is ocfoweb@ed.gov, and please put "Grant Award Database" in the address line of your Email.

Recent Change to the Database

The most significant recent change is adding an abstract search capability. This feature searches only those grants which have abstracts online (currently a low but increasing percent). The percent of grants with abstracts is indicated on the abstract search selection screen. Other recent changes to the database are adding links on grant award detail screens to other awards of the same grant; adding the abstract to the download files; and increasing the maximum record limits for downloads to 1,000 for Excel and 500 for CSV.

Searching for Grant Awards

There are four ways to search the database (below the bullets are explanations for each way):

  • Picklist - search using picklists of actual data
  • Text - provide a text string to search for, such as a zip code
  • Date - search for awards within an award date range - and
  • Abstract - search abstracts that are online.

Picklist Search

This search uses a series of picklists of actual data to assist you in finding grant awards. Five pre-defined picklist searches and a customizable picklist search are available. The order of the pre-defined picklists is shown below the link to each. Select one of the predefined pick list orders (an asterisk identifies the current selection) or click the "Customize" link to create your own picklist search order. On the customize picklist order screen, click on a data field name in the order box and click the up or down arrows to move the chosen field up or down. The five fields at the top of the list will be the new customized picklist order. After setting the picklist order, click the Apply New Pick List Order Button to begin to search.

To begin a Picklist search after selecting the picklist order, choose a value or values in the 1st picklist box and click the View Data button. The first 25 results will be on the next screen below the 2nd picklist box. Scroll down to see the results or use that 2nd picklist and subsequent ones to refine your search, if necessary.

On the results screen, to see more about a particular award, click the underlined data in the award's table row to go to the detail screen. The grayed column header indicates the current sort field; to re-sort the results, click on another column header. To see the next 25 awards in your search, click the Next Button. Results (including the detailed data for each award) can be downloaded by clicking on one of the download buttons above the results table. The left button downloads an Excel Spreadsheet file (Maximum of 1,000 records). The right button downloads a text delimited Comma Separated Value file (Maximum of 500 records).

Date Search

The Date Search allows you to look for awards made within a specific award date range.

To begin a Date search, enter a start date and end date (format: MM/DD/YYYY) of the award range in the appropriate boxes (or use the calender to the right of each box to select the dates). Then click the View Data Button. The first 25 of your results will be on the next screen, below a CFDA Subprogram Picklist. Use the CFDA Subprogram picklist to refine your search, if necessary, by selecting one or more CFDAs from the picklist and clicking the View Data Button to its left.

On the results screen, to see more about a particular award, click the underlined data in the award's table row to go to the detail screen. The grayed column header indicates the current sort field; to re-sort the results, click on another column header. To see the next 25 awards in your search, click the Next Button. Results (including the detailed data for each award) can be downloaded by clicking on one of the download buttons above the results table. Text Search

The Text Search allows you to enter the text to search for in a particular data field.

To begin a Text search, pick a selector data field name in the left box using the drop-down button. Then select a operator condition in the center box, such as Starts With. Then, enter the text to search for in the rightmost box. Click the View Data button to run the search and see the results. On the results screen will be the first 25 awards of your search, and, below it, additional selector options which can be used to refine your search.

Abstract Search

Use this to search the abstracts that are online. Abstracts are not available for all grants. The percent of grants with online abstracts is shown on the abstract selection screen.

To begin an Abstract search, make selections for one or more of the four selectors on the abstract search selection screen and press the Execute Search button. Only one Fiscal Year (of the award date) can be selected, but up to 10 states or CFDA/Subprogram numbers can. With selector (3), use the drop down boxes to the left of the text input boxes to control how the text terms will be applied in the search.

The first 25 results of your search will be on the next screen. On the results screen, to see more about a particular award, click the underlined data in the award's table row to jump to the detail screen for the award. The grayed column header indicates the current sort field; to re-sort the results, click on another column header. To see the next 25 awards in your search, click the Next Button. Results (including the detailed data for each award) can be downloaded by clicking on one of the download buttons above the results table. The left button downloads an Excel Spreadsheet file (Maximum of 1,000 records). The right button downloads a text delimited Comma Separated Value file (Maximum of 500 records).

Database Notes

  • Consolidated Information. One record is shown for each fiscal year of a grant. The record shows the total amount of Federal funds awarded to the grant during the Federal fiscal year. The total is based on the action award date, not the appropriation fiscal year. The Federal fiscal year runs from October 1st of one year to September 30th of the next year. If multiple awards to a grant occurred during the fiscal year, such as supplemental funding awards or a continuation award, the total of all are combined on the one fiscal year database record.
  • Grants Included/Not Included. While most Education Department grant/assistance awards are included in the database, a few programs such as the Impact Aid formula awards and Federal Student Aid (FSA) Awards are not included. FSA's LEAP and SLEAP programs are included.
  • Recommended Browsers. For best viewing of the database, use 5.x level or above Windows or Netscape browsers. We have noted problems using the Date Search with earlier Netscape browsers.

  • Fiscal Year - Federal Fiscal Year of the Award Date
  • Unit ID - Code assigned to postsecondary degree-granting institutions by the Education Department
  • Sector Code - Sector of postsecondary degree-granting institution based on response from the Institutional Characteristics Survey
  • Sector Text - Translation for Sector Code
  • HBCU Indicator - "Yes" indicates a Historically Black College or University
  • Tribal Indicator - "Yes" indicates a Tribally-run degree-granting institution (based on IC survey).
  • HSI Indicator - "Yes" indicates a Hispanic Serving Institution

ED Grant Number Breakdown

The grant number indicates the ED sponsoring office, CFDA subprogram, and initial fiscal year of a grant. For example, grant number R215V020002 would be broken down as follows:

  • R - Sponsoring program office code (R=OERI)
  • 215 - CFDA (84.215)
  • V - Subprogram identifier
  • 02 - Fiscal year of initial award (FY 2002)
  • 0002 - Unique application identifier.
